How your clients use the Client Portal
The Client Portal is a standalone, sign-in-required experience at
/client-portal where your buyers and sellers can check on their own
transactions any time — separate from the one-time links you share for a
single deal. This article explains how a client gets in and what they see,
so you can point them to the right thing.
How a client gets access
A client can only sign in if their email address already matches a party on at least one of your transactions — the same Parties you add on a transaction's detail page (see Managing your Contacts address book for how Parties differ from your Contacts address book). There's no invite step: as soon as you add someone as a buyer or seller party with an email address, that email is eligible to sign in.
Clients have two ways in:
- One-time code — at
/client-portal, the client enters their email and Done-Deal sends a 6-digit code that expires in 10 minutes. No password required. - Password account — a client can also click Create account to set a password. Done-Deal emails a verification link (expires in 48 hours) that they must click before they can sign in with that password. They can still use Forgot password to reset it later.
Note: If someone tries to sign up with an email that isn't on any transaction as a party, Done-Deal shows the same "check your email" confirmation either way. This is intentional — it stops someone from using the signup form to figure out whether a given email is a Done-Deal client.
What clients see once signed in
The Client Portal dashboard lists every transaction where the client's email matches a party, split into two sections:
- Active — property address, current stage, whether they're buying or selling, and the closing date (with days remaining, if set).
- Closed — property address and closing date.
This is a lifetime summary across every transaction they've been a party to with you — useful for a repeat client who bought a home two years ago and is now selling. It does not show documents, deadlines, or line-item detail for a specific transaction. FAQ
Do I need to invite clients to the Client Portal separately?
No. Adding someone as a buyer or seller party on a transaction (with an email address) is what makes them eligible to sign in — there's no separate invite step or button.
What if a client used a different email to sign up than the one on the transaction?
They won't see anything. The Client Portal only matches transactions by the exact email address on the party record, so double-check the email you entered when adding them as a party if a client reports an empty dashboard.
Can a client see other buyers, sellers, or agents on the transaction?
No. The dashboard only shows the fields listed above — property address, stage, side, and closing date. It doesn't expose other parties' contact information or internal notes.
Is the Client Portal part of the AI TC add-on?
No. The Client Portal is available on every plan.
