Common questions
These are the questions agents ask most, with short answers. Each one tells you where to click. If you don't find your answer here, email support@done-deal.co and a person will help you.
Signing up and logging in
How do I sign up?
If your brokerage sent you an invite link, use that link. Otherwise, go to done-deal.co/signup.
- Answer a few quick questions about how you work.
- Enter your email address and click Continue.
- Fill in Full name, Password and Confirm password.
- Check the box to agree to the terms, then click Create account.
- Open the email Done-Deal sends you and click the link.
- Click Confirm my email.
See Creating your account for what comes next.
I never got the confirmation email.
Check your spam or junk folder first. On the "Check your email" screen, click Resend confirmation email. If you typed the wrong address, use the link on that screen to start again with a different address.
If the link says it expired or was already used, go to done-deal.co/login and try to sign in. If that doesn't work, email support@done-deal.co.
I signed up, but I don't see my brokerage.
You join your brokerage when you sign up with its company email address, or when your broker has listed your email address. If neither is true, your account still works, but it sits in its own separate workspace.
If you asked to join a brokerage and weren't added, your Home page shows a notice saying so. To fix it, sign up again with your company email, or ask your broker to add you.
I forgot my password.
- Go to done-deal.co/login and click Forgot password?
- Enter your account email and click Send reset link.
- Open the email and click the link.
- Click Choose a new password.
- Enter your new password and click Update password.
If the email doesn't come, check spam, then email support@done-deal.co.
I need to change the email I log in with.
We can change it for you. Email support@done-deal.co with your current login email and the new one. We'll let you know when it's done.
Connecting Outlook or Gmail
How do I connect my Outlook?
- Click the gear at the top right, then Settings.
- Open the Connections tab.
- Next to Outlook Email, click Connect.
- Sign in to Microsoft and approve access.
You'll see "Outlook connected" when it worked. Use your work Microsoft 365 account. Outlook.com and Hotmail accounts are not supported. See Connecting your email.
Microsoft says I need admin approval, or my organization blocked the connection.
This comes from a policy on your company's Microsoft account, not from a problem with your login. Your IT administrator needs to approve Done-Deal for your organization. After that, try connecting again. Email support@done-deal.co if you or your IT team need help.
Done-Deal works in the meantime. You don't need a connected email to use forms, signing or your deals.
Can I connect Gmail?
Not right now. Outlook is the only email you can connect. You don't have to connect any email to use forms, signing and your deals. Without a connected email, contracts and client emails send from Done-Deal's address instead of your own, and Reme can't read your deal emails.
Can Done-Deal put my deadlines on my calendar?
Yes. There are two ways, and both are in Settings on the Connections tab.
- Calendar feed works with Apple Calendar, Google Calendar and Outlook, and needs no connected account. Click Create my calendar feed, then add the feed link to your calendar app.
- Calendar sync adds deadlines straight to your Outlook calendar. Connect Outlook first, then click Turn on calendar sync. It's available on accounts that have Reme.
Some deadlines with unusual names, mostly on deals imported from CTM eContracts (CTM), may not appear on your calendar. Keep using Done-Deal as your main deadline list.
Importing deals from CTM
What happens to my deals that are open in CTM?
Nothing changes in CTM. The import only reads your account. You can finish open deals in CTM. If you'd like them in Done-Deal too, you can import them.
How do I bring my deals over from CTM?
Use a computer, not a phone. Chrome, Edge and Safari all work.
- Click the gear at the top right, then Import from CTM.
- Drag the Import to Done-Deal button onto your bookmarks bar.
- Log in to CTM in another tab.
- Click the Import to Done-Deal bookmark.
- Click Start import.
- Check the list of deals, then click Copy checked deals to Done-Deal.
- Keep the CTM tab open until it says it's finished.
- Come back to Done-Deal and click Next to see what came over. Click Refresh if the list looks out of date.
The video "Migrating your deals from CTM" on the Help page shows every step. See also Switching from CTM eContracts.
I can't drag the button to my bookmarks bar.
First make your bookmarks bar visible. In Chrome, press Ctrl+Shift+B, or Cmd+Shift+B on a Mac. Then:
- On the import page, click Drag not working?
- Click Copy code.
- Add a new bookmark by hand.
- Paste the code into the address (URL) box.
Do my documents come over too?
Yes. The PDFs on each deal are copied in and filed on that deal. Word and zip files are skipped, so save those from CTM yourself. If a deal is missing documents, click the bookmark in CTM again. It skips what already came over and retries the rest.
Which deals come over? Can I bring closed ones?
Active and Under Contract deals are picked to start. To add your Sold, Expired, Withdrawn and Cancelled deals, check Also bring over closed history before you click Start import. Closed deals come over as a read-only archive.
Should I cancel CTM?
That's a question for your managing broker. Before you cancel anything, finish the import, check the document counts, and click Download Migration Certificate for your records. You may be required to keep transaction records.
Creating and running a deal
How do I start a new deal?
- In the left menu, click Deals, then + New.
- Drop the contract PDF in the Upload Contract PDF box. Done-Deal fills in the dates and parties for you.
- Under Deal side, pick the side you represent.
- Check the mutual execution of contract (MEC) and closing dates against the contract.
- Click Create deal.
The video "Create a deal from a contract PDF" on the Help page shows each step.
How do I add my co-agent, my TC, or the other side's agent?
Open the deal. On the Overview tab, find People on this deal.
- The other side's agent: Click + Add Party, then pick Buyer's Agent or Seller's Agent.
- A co-agent in your brokerage: Open Co-agents, then click Add Co-Agent.
- Your transaction coordinator (TC): Open Coordinator, enter their email, then click Send invite.
Who can see my deals?
You, the people you add to a deal (co-agent, TC or backup broker), and your managing broker. Other agents in your office don't see your deals.
I deleted a deal or a document by mistake.
At the bottom of the Deals page, click Recently deleted. Find the item and click Restore. Items stay there for 30 days, then they're removed for good.
Forms
Where are the forms? How do I start a contract?
- In the left menu, click Forms/Contracts.
- On the Library tab, find the form and click Start form.
- Pick the side you represent, then add the client and the property.
- The form opens on screen. Type straight onto it. It saves as you go.
The video "Filling out a contract" on the Help page shows how.
Can I choose N/A or blank on empty lines?
Yes. To set your default, go to Settings, open the Content tab, and find Blank lines on contracts.
To change one contract, open it on a computer and use Blank lines on the printout. That choice locks when the contract is sent. If you never choose, empty lines print N/A.
Sending for signature
How do I send a contract for signature?
- Open the contract and click Send for Signature.
- For each signer, enter the full name and email and pick the role.
- Click + Add another recipient if you need more people.
- Click Send for Signature.
If a required field is missing, Done-Deal shows you which ones to fix first. See Sending a contract for signature.
Does my client need an account to sign?
No. Each signer gets their own link by email and signs in the browser. There's no login and no download. They can sign with a mouse, trackpad or finger, on a phone or a computer.
My client didn't get the signing email.
Ask them to check spam and junk. For a contract, the subject starts with "Signature requested:". For a PDF sent with Sign a PDF, the subject says you have requested their signature. Check the spelling of their email too.
Links expire after 14 days. If the email is still missing or the link expired, email support@done-deal.co and we'll help.
Can my client sign in person, on my device?
Yes, when a document filed on the deal is out for signature and waiting on your client.
- Open the deal and click the Forms & Documents tab.
- Find the document and click Sign in person.
- Choose who is with you and how you confirmed who they are.
- Follow the steps to hand over your device.
Not sent yet? On the Documents page, click Sign & Send on the contract or emailed-in document, choose In person on this device (no email needed), and click Place fields for in-person signing. Then click Sign in person on the document. Your client doesn't need an email address.
If you don't see Sign in person, your client signs from the emailed link instead. That's the case for a contract sent with Send for Signature, and for a PDF you uploaded straight into Sign a PDF.
Only the deal's agent or backup broker can start this. A TC can't.
How do I amend or extend a signed contract?
Open the signed contract and click Amend or extend. This starts an AE41. Fill it in and send it for signature like any other contract. See Amending or extending a contract.
Deadlines and tasks
Does Done-Deal work out my deadlines?
Yes. It works them out from the contract dates and the mutual execution of contract (MEC) date. A date that lands on a weekend or a Colorado holiday moves to the next business day only when section 3.3.3 of your contract says it will. If Done-Deal can't tell which box is checked, it keeps the date and adds a note to that deadline, so check your contract. Always check the MEC and closing dates once against the contract. See How deadlines are calculated.
A deadline on my deal looks wrong.
First check the MEC date.
- Open the deal and click Edit at the top.
- Check MEC Date (Mutual Execution) and fix it if it's wrong.
- Click Save Changes. The deadlines update.
To change one deadline only, go to Upcoming Deadlines on the Overview tab. Click Update on that deadline, enter the date, and click Save new date.
This changes Done-Deal's record only, not the contract. Whether a contract deadline can move is a question for your managing broker.
Where do I see what's due?
Your Home page shows the actions that need you and your deadlines, today and coming up. Tasks in the left menu lists every task from all your deals by due date. Each deal shows its deadlines on its Overview tab.
Will Done-Deal remind me before a deadline?
Yes, if Reme is on your account and isn't paused. By default you hear about a deadline 7 days, 48 hours and 24 hours before it's due, and again if it's overdue. Anything due within 24 hours or overdue reaches you right away. Earlier reminders can come in your morning digest.
Reminders go only to you, by email or push notification. To change them, go to Settings, open the Notifications tab, and find Deadline reminders.
Reme, your AI transaction coordinator
What is Reme?
Reme (say "Remy") is Done-Deal's AI transaction coordinator. Reme watches your deadlines and your connected inbox, checks documents, and drafts follow-ups. In Supervised mode, the default, nothing goes out until you approve it. Reme isn't on every account.
How do I ask Reme something?
Click Help in the left menu and type your question in the box under Reme. That box is best for how-to questions about Done-Deal. If Reme is on your account, use the "Ask your AI TC anything..." box on Home to ask about your own deals.
Will Reme send emails without asking me?
No. Reme starts in Supervised mode. Every email it drafts waits for you to approve it, edit it or skip it.
If you switch a deal to Autonomous mode, low-risk actions on that deal can go out on their own. Medium-risk and high-risk actions still wait for you. See Supervised vs. Autonomous modes.
Using your phone
Can I use Done-Deal on my phone?
Yes. Open done-deal.co in your phone's browser and sign in.
- On an iPhone: Tap the Share button in Safari, then Add to Home Screen.
- On Android: Tap Add on the "Add Done-Deal to your phone" banner.
After that, it opens like an app. Do the CTM import on a computer.
Getting help
Where do I get help inside the app?
Click the round ? button at the bottom right of any page, or press the ? key. It shows tips for that page. Click Help in the left menu for Reme, the FAQs and every training video.
New accounts also see Get set up in the left menu: six short steps with a video each. You can open the same course from the Help page.
